Change notes in documents serve to ensure traceability of adjustments and enhance process security for employees, especially when they are proactively informed about the changes before the report execution.
With the AI solution integrated into Operations1, change notes can be generated with just one click during document revisions. This eliminates the need to manually compile all information and formulate it in an easily understandable manner.
The function for automatically creating change notes can be accessed directly next to the notes field. After starting the generation process, it takes a few seconds, depending on the extent of the changes, for the generated text to appear. The generated text can then be used as is, manually modified, or regenerated according to preference. By using AI to create the notes, they are always unique, and each new generation will differ from the previous one. The creation process compares the last version of the document with the current changes. The language of the change note currently always corresponds to the selected document language.
Certain changes, such as those related to modules or structure classes, may not be taken into account. These changes can, however, be added manually. We welcome feedback on the current state and ideas for further development.

Operations1 uses Azure OpenAI Services to provide this functionality. We use current models like GPT-4o-mini hosted in Microsoft's Sweden Central region.
To enable generation of the changenotes the text content of the document and information about its structure in the old and new version is sent to the model which then generates a summary and returns it back to Operations1.
