The use of media and materials can help you to make your instructions more detailed and clearer at the same time. The same medium or material is often used in many instructions if they are central components of your processes. The use of global assets in Operations1 noticeably simplifies the management of these central components. You only need to create the media or material once and can then integrate it in all the required places. The advantage: If you need to make changes later, you can do this once centrally and the change is automatically applied to all affected locations.
Creation and management of global materials
In the system navigation you can find the area Material, where you can manage global materials centrally or add new materials. If you are new to using materials here, it is worth importing all your materials at once in bulk using the function Import materials.

You can also convert existing local materials into global materials. To do this, open the Material tab in a document in which the local materials are shown. After selecting a material, you can select the Convert to global option via Actions. To convert a large number of materials, it is advisable to first select all materials and then convert them all into global materials.
The best way to work with the materials in your documents after conversion is described in our article "Creating and using materials in documents". It is possible to work with local and global materials in parallel without any restrictions to your workflows.
Creation and management of global media
Managing global media works in a similar way to managing materials. Here too, you will find a separate Media section in our system navigation, in which all global media can be viewed and edited. You can create a new global media via New media. You can then use the Edit menu action to edit the medium centrally in one place and the changes you have made are automatically applied to all documents.
If you want to insert markers specifically for each document in an image, it is best to continue using local media. You can read more about using global and local media in your documents in the article "Include and edit media files in documents".
