Efficient problem-solving and closing knowledge gaps in process execution with AI-powered access to existing knowledge

The AI Assistant is an intelligent extension within the report execution of Operations1. It supports employees in analyzing and resolving issues that arise during operational interactions. The goal is to make existing knowledge effectively usable and drastically reduce the time needed to resolve problems.

The AI Assistant becomes active when an interaction (confirmation, numeric input, checkbox, etc.) in a report is failed and the permission for the respective user role was activated in the settings. It offers the following advantages:

  • Automated task creation for faulty interactions

  • Context-based task titles generated by AI

  • Automatic criticality assessment based on the interaction itself

  • Direct solution suggestions derived from uploaded knowledge (e.g., manuals)

  • Reduced search effort and improved decision-making on the shop floor

To enable the AI Assistant to provide relevant suggestions, it needs access to existing knowledge. This can currently be provided as follows:

  • Via the “AI Knowledge” tab in the document section (Note: if the tab is not visible, the permission is not enabled in the settings)

  • Only PDF files are currently supported as data sources (e.g., manuals, troubleshooting guides)

  • Coming soon: Support for additional formats and direct integration of solutions from report execution

Activation of the AI Assistant upon failed interaction

When an interaction in the report is marked as failed (e.g., NIO), a banner automatically appears to activate the AI Assistant. Once confirmed, the following steps are triggered:

  • Automatic task creation with AI-generated title and criticality rating

  • Full contextual awareness from the document and the interaction

  • The AI Assistant becomes active and immediately displays initial troubleshooting hints

After the task is created, the AI Assistant analyzes the uploaded PDFs to display relevant solution hints. Additionally, the Assistant offers:

  • Concrete suggestions for problem resolution

  • Source references indicating from which document the information originates

  • Feedback functionality: Users can rate responses with thumbs up/down to continuously improve AI answer quality

Chat functionality for follow-up questions and explanations

The chat function allows users to ask targeted follow-up questions to the AI Assistant. If a response is incomplete or unclear, users can formulate a specific follow-up query. The AI Assistant will then reanalyze the available knowledge and provide a refined or more detailed answer.

If no relevant information can be found in the underlying sources, the AI Assistant will communicate this transparently. It relies exclusively on available data - such as uploaded sources, the report, and the ongoing chat context - and does not draw on generic information from the language model.

Moreover, the chat function supports multilingual conversations: if a follow-up question is asked in another language, the AI Assistant will automatically reply in that language.

Note: The AI Assistant represents a new and additional functionality for our customers with a Professional, Enterprise, or Custom license. It is not merely an update and will be available free of charge and without limitations until the end of Q1 2026, deviating from the standard Operations1 usage rights policy.
